1. Cancellation Timing and Refund Schedule
Refunds are determined by the cancellation timing windows listed below.

2. Medical & Emergency Exceptions
The following exceptions apply regardless of where a cancellation falls in the tiered schedule above:
- Serious illness or documented medical emergency: Pro-rated cash refund proportional to remaining sessions, with physician documentation required.
- Death in immediate family: Full refund at any point, no documentation burden.
- Government-issued safety emergency: Full refund for safety emergencies including evacuations, travel bans, or active safety threats.
- Head of School discretion: Special circumstances may be considered on a case-by-case basis.
3. Program-Cancellation Protection
If Alpha cancels or materially changes a session, families are fully protected:
- If Alpha cancels a session for any reason: Automatic full cash refund within 14 business days — no parent action required.
- If Alpha materially changes the program (location, schedule, or faculty): Family may elect a full refund or accept the modified program.
4. Schedule Transfers
- Transfer requests are subject to space availability in a future session.
- Requests must be submitted in writing before the session start date.
- No transfers can be made once a session has begun.
- One transfer per enrollment is permitted. A second transfer request converts to program credit at Head of School discretion.
5. Behavioral Dismissal
We are committed to providing a safe, positive, and productive environment for all campers. Our behavioral accountability system uses a Yellow and Red Card framework consistent with our school-year programs. Behavioral accountability is a standard of the program, not a punitive measure. If a camper is dismissed due to behavioral incidents, the decision is at the discretion of camp leadership. Tuition is non-refundable and non-transferable in cases of dismissal.
Here's how Yellow and Red Cards work:
Yellow Cards
- Issued for minor behaviors that require correction
- Reset daily
- Three Yellow Cards in one day will result in parent/guardian contact and possible early pickup
Red Cards
- Issued for serious behaviors that violate community standards or safety expectations
- One Red Card will result in immediate parent/guardian contact and possible same-day pickup
